Resources should be considered as a unit that performs the activities in Organizer. First, resource needs are identified, then resources are added. Some activities do not have a resource need.

A project can have several tasks. Each task then has activities. Activities can then have a resource requirement (RR) in order to be able to carry out the activity. When the need for resources is identified, resources (R) are added to carry out the activity. The activity is then allocated resources.
Organizer's south panel contains the check box Resources missing. The check box makes it possible to search for the tasks for which there are no resources allocated. The same check box/search term is also available under the Workflow tab.
In Organizer's south panel, in the Tasks and Workflow tabs, there is a Resources missing check box. This check box allows you to search for tasks for which resources are missing.
If the Resources missing check box is not included in the search criteria in the south panel: 1.Press Select search criteria 2.Check the desired search criteria and press OK. |
You can view resource requirements for all activities in a task via the booking tool. The Booking tool is a panel tool where color markings are used to show activities that have resources, miss resources, and are partially allocated resources. It gives an overview of which activities in a task have resources, and which ones have not.
To the left are the activities included in the task and their implementation status. The color fields (the background color of the activity) mark the status of the resource allocation.

1.In Organizers south panel, right-click on a task and select Booking tool.
2.Select the activity that needs resources in the left side of the dialog box.
3.Press Create new personnel need or Create new machine need
depending on the type of resource need. The Personnel need or Machine need dialog box opens.
4.Specify the type of resource, any skills required for the activity, and the hours the activity is expected to take for the resource to complete.
5.Press OK.

Select multiple activities to view the resource needs for all selected activities simultaneously. You can also select multiple resource needs and add the same resources to all selected ones. |
2.Check the desired options for searching resources:
oAvailable - Displays only the resources available during the scheduled time for the task.
oType - Displays only resources of the type you selected in the resource need.
oCompetence/Class - Displays only resources with the competence you selected in the resource need.
3.Press Search resource to find the resources that match your specified needs.
4.Select desired resources from the list and press Book the resource for the selected need .
To view the bookings for a resource, select the resource in the search list and press Show form for resource |
When the resource is booked, the background color of the activity changes to green, and the booked resource appears to the right of the need field. If the activity contains multiple resource requirements and some, but not all, resource requirements are filled for the activity, the background color changes to yellow |
If the activity's planned dates change after resources have been booked, the dates can be synchronized, see section Synchronize booking dates with the activity's planned dates below. |
In the east panel, the resource requirements per activity in the task are displayed.
1.In Organizers south panel, select a task in the list. The task opens in the east panel.
2.In the east panel, select the Workflow tab.
3.Select a desired activity and select the sub-tab Resource need.
4.Set resource requirements and resources in the same way as in the booking tool above.
When a resource is booked, its date is taken from the activity's planned date. If the activity's planned date is changed after the booking has been created, the booking date is not automatically updated.
To update the booking dates, you can use the Synchronize booking dates with the activity's planned dates function. It is active when one or more bookings are marked in the resource list and is available both in the Booking tool and in the Resource need tab in the east panel.
1.Select one or more booked resources.
2.Press Synchronize booking dates with the activity's planned dates . The selected bookings will be updated to the current planned dates of the activity.
If a booking contains multiple time intervals, only the selected intervals are updated. This function applies to both personnel and machine resources. |
Personnel resources get access to information about their jobs through the Organizer Webmap. When personnel resources are logged into the Organizer web directory, they can see the tasks under the Activities tab. There is also a filter function to filter which activities the worker is a resource for, responsible for, or both responsible and a resource for.
By pressing the Table button, you can change the view so that the booked activities are shown in, for example, a calendar.
1.Find a task in the map (dpSpatial).
2.Right-click and select Booking tool.
3.Book the resource for the task in the Booking tool.
4.In Organizer Webmap, the new task is shown in the Activities tab. Note that only the activity owner can inactivate the activity.
