Map a process to a task template

After a process has been published in WorkflowStudio, it can be mapped to a task template in Organizer. Instead of adding activities, milestones and decision points to a template in Organizer you can add a reference to a process. You can read more about Task templates in section Task templates and its subsections.

If a process has sub-processes, these must have task templates in order for the main process to be mapped to a task template.

 

1.Select Organizer > Show/Hide administration.

2.In the Task templates tab, select the Create new task template icon .

3.Select the type of the task.

4.Set the Template name and optionally other attributes.

5.In the Workflow tab, press the icon and select New process reference .

6.Select a process and press OK. Only the processes that are published are visible in the list.

7.In section Inbox reference data, map the swimlanes in the selected process to inboxes in Organizer.

If the swimlane in the process has the same name as an existing inbox, the name of that inbox will be selected by default.

When the process contains sublanes, the lowest lane will be mapped.

If no inbox is selected, you will be set as the owner of the task.

8.Press OK to save the template. This template can now be used as a normal task template to create a new task in Organizer and the workflow will be driven by the process designed in WorkflowStudio.

 

Set ownership for an entire lane

In tasks based on a WorkflowStudio process, you can set ownership of all the unfinished activities in a lane, not just individual activities. This makes it easier to work in tasks where one person is responsible for the entire workflow within a lane.

1.In the east panel for a task created via a task template with a mapped process, select the desired activity in the list.

2.In the Workflow tab, press Select new owner for lane to select to:

oTake lane to become the owner.

oSelect owner to select someone else as owner.

oRestore the inbox as owner .

You can also take ownership of the entire lane when you end an activity.

1.Select an activity and press Finish workflow item .

2.In the dialog box that appears, select ownership:

oPress Take lane to take ownership of all unfinished activities in the same lane.

oPress Take activity to take ownership of the selected activity only.

 

Show the process workflow graphically

When you have created a task in Organizer based on a process from WorkflowStudio, you can show the process workflow graphically without opening WorkflowStudio. This can be useful for viewing, for example, loops and dependencies that are not visible in the workflow list. You can also see which activities are ongoing, completed, or planned, marked with the same color codes as in the workflow list.

1.In the east panel for a task created via a task template with a mapped process, press and select a view:

oShow in active view

oChoose view to show in

oShow in new window

The process will be displayed in the selected view.
