Administrate materiel

Several suppliers can be added in the system. Only one supplier can be set as a main supplier. When a supplier is set as a main supplier, the system will suggest this supplier as the main supplier of an article, provided that the supplier have the article in store. A separate article catalog can be set up for each supplier. Articles are identified by article numbers. The same article number can be found at several suppliers but the name of the article may vary at each supplier.

The currency in which the price of an article is specified is determined by each supplier.

 

Search suppliers

1.Select Organizer > Show/Hide administration.

2.In the south panel, select the Suppliers tab.

3.Press Search to search for all the suppliers in the system.

4.Select a supplier from the list. Information about the supplier is displayed in the east panel.

5.Edit or add information.

6.Press Save.

 

Make a supplier to a main supplier

1.Select Organizer > Show/Hide administration.

2.In the south panel, select the Suppliers tab.

3.Press Search to search for all the suppliers in the system.

4.Select a supplier from the list.

5.Press Make selected supplier to main supplier .

 

Create new suppliers

1.Select Organizer > Show/Hide administration.

2.In the south panel, select the Suppliers tab.

3.Press Create new supplier .

4.Enter information about the supplier.

Press Set currency to decide the currency in which prices for the supplier's articles should be stated.

5.Press Add.

 

Delete suppliers

1.Select Organizer > Show/Hide administration.

2.In the south panel, select the Suppliers tab.

3.Press Search to search for all the suppliers in the system.

4.Select a supplier from the list.

5.Press Delete supplier .

6.Press OK.

 

Create article catalog

1.Select Organizer > Show/Hide administration.

2.In the south panel, select the Suppliers tab.

3.Press Search to search for all the suppliers in the system.

4.Select a supplier from the list.

5.Press Import/update article catalog for selected supplier .

6.Select the file you want to create the article catalog from.

7.Press Open.

Select the Article catalogs import format to view how the data file is set up.

The first four fields must contain values. The remaining fields can be empty or contain 0 (zero).

Article numbers in the article catalog must be unique.

The data file must not contain headings.

Fields that contain prices must not contain spaces or commas.

For decimals to be handled, they must be separated by a period.

Check that the correct character encoding is selected for the input file.

 

Update an article catalog

The same procedure is used for updating an article catalog as for creating an article catalog. When a change in the article catalog occurs, the existing article numbers are kept and their prices are updated. New article numbers may be added.

Replace outdated articles

1.Select Organizer > Show/Hide administration.

2.In the south panel, select the Suppliers tab.

3.Press Replace articles .

4.Enter a search criteria in the section for Articles in use, to search for the article to be replaced.

5.Press Search in the section for Articles in use.

6.Select an article.

7.Enter a search criteria in the section for All articles to search for the article you would like to replace the outdated article with.

8.Press Search in the section for All articles.

9.Select an article.

10. Press Replace.

 

Delete outdated articles

1.Select Organizer > Show/Hide administration.

2.In the south panel, select the Suppliers tab.

3.Press Replace articles .

4.Enter a search criteria in the section for Articles in use to search the article to be deleted.

5.Press Search in the section for Articles in use.

6.Select an article.

7.Press Delete.

 

Update single article

1.Select Organizer > Show/Hide administration.

2.In the south panel, select the Suppliers tab.

3.Press Update articles . The dialog Article catalog opens.

4.Select the Search article tab.

5.Enter a search criteria.

6.Press Search.

7.Select an article.

8.Enter new values in the fields that needs to be updated.

9.Press Update.

 

Users who have administrator rights reach this function when an article is to be selected in the material preparation. This can be avoided by logging in as different user depending on the task at hand.

 

Create new article

1.Select Organizer > Show/Hide administration.

2.In the south panel, select the Suppliers tab.

3.Press Update articles . The dialog Article catalog opens.

4.Press Create new article.

5.Fill in the desired information.

6.Press OK.

 

Use construction groups

You can group articles into construction groups to facilitate management. Construction groups consist of construction types, which in turn consist of constructions. Articles are added to the constructions.

 

Create construction group, construction type and construction

1.Select Organizer > Show/Hide administration.

2.In the south panel, select the Suppliers tab.

3.Press Update articles . The dialog Article catalog opens.

4.In the Construction groups tab, right-click on Construction groups in the tree view and select New construction group.

5.Fill in the desired name and, if necessary, a description.

6.Press OK.

7.Right-click on a construction group and select New construction type.

8.Fill in the desired name and, if necessary, a description.

9.Press OK.

10.Right-click on a construction type and select New construction.

11.Fill in the desired name and, if necessary, a description.

12.Press OK.

 

Add articles to a construction

1.In the Article catalog dialog, tab Construction groups, select a construction.

2.Select the Search articles tab.

3.Search for the desired article by filling in the search criteria and press Search.

4.Right-click on the desired article and select Add selected to construction [selected construction].

 

Delete an article catalog

1.Select Organizer > Show/Hide administration.

2.In the south panel, select the Suppliers tab.

3.Press Search to search for all the suppliers in the system.

4.Select a supplier from the list.

5.Press Delete article catalog for selected supplier .  

6.Press OK.

 

The links made in Constructions will be deleted when an article catalog is deleted, as the articles in Constructions are linked to the Supplier.
