<< Click to Display Table of Contents >> Organizer > Administration > Task templates > Assigning ownerships |
In a task template, there are several places where ownerships must be specified, in the form of a person or a group.
Ownership for the task is assigned in the tab Task in the field Task manager. For tasks, only individuals, registered users in the system, can be assigned - not groups. If a named user is assigned as task manager in the template, only that person will have access to the template.
If the Task manager is set to Undefined in the template, all users will have access to create tasks from that template.
Ownership is assigned for each event in the tab Workflow by selecting the event. It will then be possible to make three different types of assignments.
Owner |
Description |
Named user |
A defined user in the system |
Group ("Inbox") |
A defined ”Inbox” in the system (For configuring ”Inboxes”, please reference the section "Inboxes") |
Undefined |
The ownership will be assigned to the user creating the task |
1.Select Organizer > Show/Hide Administration.
2.In the south panel, select Task templates.
3.Press Edit task template .
4.In the task template that opens, select Workflow.
5.Select the event you want to set owner to. You can select multiple events by holding in the Ctrl while selecting.
6.Press the button Set owner .
7.Select one of the following options:
oSelect new owner
oRemove owner, to set an undefined owner.
Setting the ownership of a workflow event to Undefined is particularly useful when building task templates to be used for creating new tasks from the field, using Organizer Webmap. If a user who creates a new task in the field wants to have access to this task immediately, setting the ownership of the first activity in the template to Undefined will cause this activity to be assigned to the user creating the task. In this way the activity will be visible in Organizer Webmap for that user and accessible for immediate use. |
