Create task templates

 

In several situations when configuring Organizer, you are asked to specify the ID for a task template. In order for a task template to be visible in Organizer Webmap it needs to have a defined ID.

The ID is specified in the task template as part of the Template data. It needs to be unique and can use the capital letters (A-Z), the numbers (0-9) and the "underscore" character ("_"). No other characters apart from these are valid.

 

1.In the menu bar, select Organizer > Show/Hide administration.

2.Select one of the following:

oAlternative 1

a.In the Task templates tab, select Create new task template and select task type.

oAlternative 2

a.In the Administrate tasks tab, right-click on a task and select Save as task template.

To create a template of a specific type, you can first create a new temporary task of the desired task type without a template. This will create an empty task of the correct type. From this task, you can then create a task template. The template will then be associated with the desired task type.

Finally, open the task for editing and build the workflow structure, possible documents to be available, resource demands, etc. The temporary task from which the templates was created can then be removed.

 

Add workflow item to a task template

1.In the task template, select the Workflow tab.

2.Press Add workflow item and select the desired workflow item.

3.Select the desired type of the selected workflow item.

The Process automation module allows you to add automation activities.

1.Select an automation activity from the list.

2.Fill in the required fields.

For activity, milestone and decision point, you can press Open the codelist manager to add new types to the selected workflow item.

4.Fill in the desired fields for the workflow item and press OK.

In the fields for Planned start and Planned end, enter the estimated duration of the work step. The actual dates are not important as the template should be generic. The dates determine:

The estimated duration of the activity.

The order of the activities, you can decide when one activity should start in relation to another.

This way, you can plan and organize the workflow, no matter when the template is used.

 

Press and drag the workflow items in the workflow to place them in the order you want. When you drag an item, all the workflow items in the list are given a sort value. This prevents them from accidentally moving when you enter a date for one of them, for example.

 

Create an example workflow

For certain task types, there are predefined example workflows available that can be used to build the workflow in the task template.

1.In the task template for Inspection task or one of the Nätkollen tasks, select the Workflow tab.

2.Press Create example. Typical activities for the selected task type are created.

For task types that lack example workflows, the text No example workflow available for this task type will be displayed.

 

Create report for task template

The button Create report from search result allows you to create a report based on the search result. The report can be exported to pdf or spreadsheet and includes the columns Project template name, Project template type and Project template description.

1.Select Organizer > Show/Hide administration.

2.Select the Task templates tab.

3.Fill in the desired search criteria and press Search.

4.Press Create report from search result .

5.Select if you want to Export to spreadsheet or Export to PDF.

 

Edit template

1.Select Organizer > Show/Hide administration.

2.Select the Task templates tab.

3.Fill in the desired search criteria and press Search.

4.Press Edit task template . A dialog opens.

In the tab Task, it is possible to, for example, change the Task manager, Task comment, Main extent and add a Note.

In the tab Workflow, it is possible to edit the activities that are defined for the template. The tab corresponds to the tab Activities in the east panel when a task is selected. It is possible to, for example, create new activities or delete activities that exists in the project template.

 

Add a standardized resource requirement to a task template

You can log resource requirements for different activities directly in the task template, which will automatically be included when a new project is created from the respective template. This can be used for certain standard tasks with known resource requirements and durations.

1.Select the Workflow tab.

2.Select an activity.

3.Select the Resource need tab. For more information, see section Organizer > Project management > Resource management.
