The Email templates tab in Organizer Administration allows you to manage and customize emails sent from Organizer directly within the application.
Using this feature, you can:
•View available email types
•Create and edit email templates
•Customize subject lines and email content
•Use dynamic substitution variables
•Control when templates are used
If no custom template is defined for an email type, the system uses the default setup. |
Organizer sends various emails, such as:
•Notifications for new activities
•Task updates
•General alerts
These emails are often sent to external users (e.g., installers or partners), and many customers need to adapt the content.
The Email Templates feature makes this easier by:
•Allowing direct editing in the UI (no configuration files required)
•Providing a clear overview of all available email types
•Enabling partners and customers to manage templates collaboratively
1.Open Organizer Administration (Organizer > Show Administration).
2.In the bottom panel, select the Email Templates tab.
The tab provides:
•A list of existing templates.
•A search function to locate templates.
1.Click the button on the left side of the panel.
2.A list of available email types is displayed, including descriptions of when each email is being used.
3.Select an email type.
4.Click OK. The Email template dialog opens.
5.A default template is provided as a starting point. You can modify both the subject and content to match your requirements. Each template contains:
oSubject
oContent (email body)
Email templates support dynamic variables, allowing you to insert data automatically (e.g., task name, activity details). How it works: •Variables are displayed on the right side of the template dialog •They are grouped into categories (e.g., Activity, Task) •Available variables depend on the email type
To use a variable: 1.Select a category to view available variables 2.Use the filter or browse the list 3.Insert the variable by: oClicking Add to subject, or oDragging and dropping it into the subject or content field |
6.At the bottom of the template dialog, you will find additional settings for the template:
a.Task Type
You can define templates for specific task types.
Example:
i.One email for Inspection tasks
ii.Another email for Investment tasks
This allows different messaging depending on the task.
b.Application
If you use multiple applications (e.g., dpPower and dpHeating), you can define different templates per application. This ensures that emails are tailored to the correct system or context.
c.Active Template
Controls whether the template is used.
i.No
The template is inactive (draft mode). Use this while editing.
ii.Yes
The template is active and will be used when sending emails. It overrides the default configuration-based email.
7.Press Save to save the template.
Default Behavior If no email template is created: •Organizer will continue using the existing configuration file setup. •No changes occur to current email behavior. |
