In a task template, there are several places where ownerships can be specified, in the form of a person or inbox/group.
Ownership for the task is assigned in the tab Task in the field Task manager. For tasks, only persons, users in the system, can be specified - not inboxes/groups. If a named person is assigned as task manager in the template, only that person can access the template.
By default, the task manager is set to Undefined. This means that any user can create tasks from the template.
Ownership is assigned for each workflow item in the tab Workflow.
It is possible to assign three different types of owners:
Owner |
Description |
Users |
A defined user in the system. |
Inbox (group) |
A defined Inbox in the system. For configuring Inboxes, see section Inboxes. |
Undefined |
The ownership will be assigned to the user creating the task. This is set as default when a new task template is created. |
1.In the task templates Workflow tab, select the respective workflow item and press Select new owner .
2.Select one of the following:
oSelect owner
oNo owner, to select an undefined owner.
Setting the owner to Undefined for workflow items is particularly useful for task templates to be used in the field (Organizer Webmap). If a person creating a task in the field wants to start working on it immediately, for example to take action as a result of an observation, and the owner of the first activity in the template is set to Undefined, this activity is automatically assigned to the person creating the task. The activity then becomes visible in the person's work list and can be used immediately. |
